Every employee coming into contact with sensitive internal information of XYZ Electronic Company has to be familiar with this data classification policy as well as ensure the consistent use of the ideas contained in this data classification statement in their day to day interactions with the XYX Electronic Company. This data classification policy identifies the level of security at which every employee should handle the assets of XYZ Electronic Company. This data classification policy defines Confidential or Restricted information. Sensitive information of XYZ Electronic Company is Confidential or Restricted information. Even though this policy highlights the overall guidance for ensuring a high level of security of information and achieving consistent information protection, employees of XYZ are required to ensure strict application and extension of the concepts of this policy in their day to day operations and interactions with XYZ Electronic Company(Udupi, et al. 2007). The data classification policy offers a conceptual framework for Information Services which classifies information according to its level of sensitivity. Similarly, the policy document provides an overview of all the necessary approaches that are geared towards the security and protection of confidential information in accordance with the same sensitivity classifications.

1. Electronic Communications–

The definition of the information service data classification system in this policy document is founded on the need to know concept. This therefore means that information belonging to XYZ Electronic Company is confidential and shall not in any way be disclosed to any person having no demonstrable and legitimate business interest to access XYZ information. This concept, in combination with the Acceptable Use Policy (AUP) of XYZ Electronic Company attached in the Appendix will be used to ensure the security of information belonging to the XYZ Electronic Company and protection from deletion, access and unauthorized disclosure.

1. Applicable Information

This data classification policy applies to the entire electronic information belonging to the XYZ Electronic Company as well as all information services under the custody of XYZ Electronic Company.

2.1. Access Control

2.1.1 Need to Know

Every policy requirement highlighted in this data classification policy document is based on the need to know concept. In case any employee of XYZ Electronic Company is not sure on how any requirement set forth in this data classification policy should be used in any circumstance, the employee has the right of conservatively applying the need to know concept. What this implies is that the company shall disclose information only to persons having a legitimate business interest for the information.

2.1.2. System Access Controls

There shall be appropriate system access controls for the authentication of the identity of information users. This is meant to ensure the validity of every user’s authorization to access and use information services before anybody can have access to the information or services on the system. The data classification policy shall ensure that data meant for use in the authentication purposes is protected from unauthorized access. Similarly, this data classification policy shall ensure that controls are put in place for ensuring that access to information and service systems of XYZ Electronic Company is a preserve of persons having proper authorization. Identification and authentication measures shall be put in place to control remote access of the information and resources of the company.

2.2.3. Access Granting Decisions

Sensitive information and resources of XYZ Electronic Company shall only be accessed after a person obtains a written authorization of the Data Owner. Presentation of every access request to the data owner shall be done using the provided and approved Access Request template.  All custodians of the information involved shall be required to refer all requests for accessing information to the relevant owners or delegates of the XYX Electronic Company. For the sake of ensuring accuracy, the Data Owner shall review the list of persons having access to Confidential or Restricted data in accordance with the review schedule system that is approved the management of XYZ Electronic Company.

3. Information Classification

3.1. RESTRICTED

This data classification policy is applicable to all sensitive business information under the custody of XYZ Electronic Company. Unauthorized disclosure of information and resources belonging to the company could have devastating effects to the company, as well as other stakeholders such as suppliers, business partners, customers and employees.

3.2. CONFIDENTIAL

This data classification policy is applicable to all business information that is less sensitive and which is intended for use within XYZ Electronic Company. The unauthorized disclosure of this information could adversely affect the company as well as its stakeholders such as employees, business partners, customers and suppliers.

3.3. PUBLIC–

This classification is applicable to information which the management of XYZ has approved for release to be accessed by the public.

4. Network Use

4.1. Secure Storage of source code and object

When not being used by authorized persons, source code and object for all systems of the company shall be stored in a secure manner. Nobody has authority to modify program files which run in the production.  Any changes made to information systems must be implemented by the Technical Operations.
